But as with all technology, cloud-based or otherwise, security needs to be managed tightly.
Technology Security Policies
We use VPNs for office networks.
Calmwaters does not conduct client work using public wifi, such as offered by coffee shops or libraries.
Our computers turn off at night on a schedule.
Our laptops and desktops have unique PINs to open them, and they go to sleep after a half-hour of inactivity.
Systems are protected using The Geek Squad, BitDefender subscriptions.
We use 2-Factor Authorization for all accounting applications.
We use 2-Factor Authorization for Calmwaters’ Google Suite, Zapier, websites, domain host company, and any internal cloud tech that has it available.
We use 1Password to store, secure and manage all passwords.
Passwords are like toothbrushes. Don’t share, choose wisely, change often, and don’t recycle.
We have a company “safe word” to protect against nefarious characters - text, voice, email or otherwise.
Given that AI can clone a voice with a 3-second clip, it is critical to have a signal word or phrase in place for your business. And it is imperative to keep it fresh and change it as key team members leave.
Client Data Security Policies
Rewind is installed on all client QBO files.
We practice 3-2-1 data location redundancy.
We do not send sensitive reports or documents through our Gmail - instead, we will make them easily but securely accessible and notify you when they are ready for review.
Sensitive documents such as Tax Returns and Articles of Incorporation are stored on a site you control that you give us access to.
All other non-sensitive documents & reports are accessible through Financial Cents and QBO custom reports.
Receipts, bills and invoices are all shared through Dext.
Calmwaters does not know or store your banking access details.
You maintain the bank feed connections and supply statements (or confirm ending balances).
